This policy explains how SmartOPS Margin, part of the SmartOPS OS suite, handles personal and operational data.
This page is provided as general information about our data practices and is not legal advice. The contractual terms in your agreement govern the handling of your organization's data.
Information we collect
Account and contact details you provide, such as name, work email, phone number, company and role, when you request a demo, contact us or are set up as a user.
Operational data your organization enters or connects, including inventory counts, purchase orders, invoices, recipes, sales imports and reporting configuration.
Technical data generated when you use the site or the application, such as log records, device and browser information, and usage events.
How we use information
To provide, configure and support the service, including implementation, training and troubleshooting.
To operate and improve product functionality, reliability and security.
To communicate with you about your evaluation, account, service changes and support requests.
To meet legal, accounting and contractual obligations.
Legal bases
Where applicable law requires a legal basis, we rely on performance of a contract with your organization, our legitimate interests in operating and securing the service, your consent where we ask for it, and compliance with legal obligations.
Sharing and sub-processors
We do not sell personal information. We share data with service providers who host, secure and support the platform, and with integration partners you ask us to connect, such as your point-of-sale, distributor or accounting systems.
A current list of sub-processors is available on request during evaluation or at any time as a customer.
Data retention
Customer operational data is retained for the duration of the agreement and for the period set out in that agreement afterwards. Contact records from demo and enquiry forms are retained for as long as needed to follow up and to meet our record-keeping obligations.
Security
We apply access controls scoped by role, location and entity, encrypt data in transit and at rest, maintain audit logging on cost-bearing records, and run scheduled backups with documented recovery procedures.
Your rights
Depending on your location, you may have rights to access, correct, delete, restrict or port personal information, and to object to certain processing. Where we process data on behalf of a customer organization, we direct such requests to that organization and support them in responding.
International transfers
Where data is transferred across borders, we use appropriate safeguards required by applicable law. Hosting location details are available on request.
Changes to this policy
We may update this policy as the service and legal requirements evolve. Material changes will be communicated to customer administrators.
